This position will provide key secretarial and administrative support to four Partner-level individuals within the Lockton Professional & Financial Risks division.

Primary areas of responsibility will include:

·Providing diary, email Inbox/Outbox and call management.

·Providing extensive travel/logistics planning/management (including meetings, seminars, conferences, complex itineraries), in accordance Lockton Travel & Entertainment Policy.

·Managing all aspects of expense management, returns and reporting (in accordance with Lockton Gift & Entertainment and Travel & Expenses Policies).

·Composing, copying and audio type letters and emails.

·Maintaining filing both electronic and paper based, making full use of core systems where applicable.

·Managing new joiner set-up and induction in conjunction with HR, IT and Training teams.

·Assisting managers with maintenance of absence input and absence reporting via Lockton HR Web Portal (as appropriate).

·Take minutes of meetings (as appropriate).

·Proof read/mark-up/edit documentation.

·Ensure managers are prepared for meetings as appropriate.


Your wider remit may also include:

·Preparing/collating data, reports, presentations, brochures, plans and client tenders.

·Any other ad hoc duties to provide secretarial/administrative support including ad hoc project administration. 

Candidate Profile

Although experience within the insurance industry would be beneficial, it’s not essential for the role, providing you have worked in a similar type of corporate, professional services business.

Suitable candidates will need to demonstrate the following skills and experience:

·Good MS Office skills/IT literacy.

·Travel co-ordination experience.

·General administration proficiency, (agendas, meetings, minutes, actions).

·Understand the importance of good relationship building (internally/externally).

·Team player.

·Good attention to detail.

·Flexible in role and very keen to learn new topics and take on responsibility/assist operationally as required.

·Professional manner, able to deal well with pressure and use initiative.

·Excellent organisation/prioritisation skills; Ability to plan and work efficiently and in accordance with changing business needs.

·Reliability and able to maintain a professional level of confidentiality.

·Self-motivation in order to achieve desired results with regard to team(s), division, company and annual personal objectives.
