Purpose of the role


This role focuses on delivering high-level executive support to the UAE CEO, contributing to the smooth and efficient running of the office and enabling the CEO to focus on strategic priorities. in a dynamic and fast-paced executive environment. This role goes beyond traditional administrative support, requiring board-level exposure, cross-functional communication skills, and the ability to
act as a trusted advisor and extension of the CEO. The successful candidate will provide strategic support, manage high-level stakeholder relationships, and help drive key executive initiatives.


Your Responsibilities

  • Board & Executive Support:
     
    •  Coordinate all aspects of board and executive committee meetings, including scheduling, agenda
      preparation, distribution of pre-reads, and taking and circulating detailed minutes.
    •  Ensure the CEO is fully briefed and prepared for board meetings, investor updates, and leadership reviews.
    • Track and follow up on board action items and ensure timely execution of resolutions.
    • Maintain accurate records of board and governance documentation in strict confidence.

 

  • Executive-Level Communication:
    • Draft, proofread, and manage high-level internal and external communications on behalf of the CEO.
    • Serve as the first point of contact between the CEO and senior stakeholders, clients, partners, board
      members, and regulators.
    • Represent the CEO with professionalism and discretion in all communications.
    • Prepare executive briefing notes, business updates, and presentations for external meetings and strategic
      engagements.

 

  • Stakeholder & Relationship Management:
    • Liaise effectively with C-suite executives, board members, clients, vendors, and internal departments on
      behalf of the CEO.
    • Build and maintain trusted relationships with key external and internal stakeholders.
    •  Support the CEO in investor, client, and regulatory engagement activities.
    • Coordinate executive-level events, including leadership retreats, investor meetings, and confidential off-site
      engagements.

 

  • Project & Strategic Support:
    • Assist in the tracking and management of strategic projects, ensuring progress, timelines, and deliverables
      are maintained.
    • Prepare executive dashboards, reports, and summaries from leadership meetings or strategic initiatives.
    • Conduct research and prepare reports and recommendations on market intelligence, competitors, or
      business opportunities as required.
    • Ensure the CEO’s office is operating in alignment with the broader goals of the business.

 

  • Executive Office Operations:
    • Serve as the right hand to the CEO, managing their calendar, travel, priorities, and communications with a
      high degree of confidentiality and accuracy.
    • Filter and prioritize incoming issues, correspondence, and requests, determining the appropriate course of
      action.
    • Lead or supervise administrative staff within the executive office, if applicable.

Candidate Profile

Required Qualifications

 

Successful applicants will ideally have prior relevant experience in a similar type of corporate, professional services business working
in administrative, customer service or client-facing positions and be able to evidence the following attributes:

 

  • Strong organizational and multitasking abilities
  • Ability to communicate effectively and professionally both verbally and in writing with clients, insurers, and other
    associates.
  • Intermediate/Advanced MS Office skills/IT literacy – especially Outlook (experience of arranging meetings across
    multiple time-zones a bonus) and PowerPoint
  • Ability to work independently and collaboratively in a fast-paced environment
  • High level of discretion and professionalism
  • Prior experience in administration or executive support role is preferred
  • Understanding of the retail broking industry is preferred
  • Experience with attending executive meetings, and meeting tracking.
  • Experience supporting C-level executives or working in a multinational/board-governed organization
  • Ability to anticipate needs and proactively solve problems
  • Polished, professional presence with strong interpersonal and client-facing skills
  • Flexible and adaptable with a service-oriented mindset
  • A minimum of 5 years experience working at C-Suite level in a similar role.
