In this position, you will report into the Executive Assistant providing seamless administration support to the Retrocession and Property Specialty reinsurance broking team. We are a busy, fast‑paced team often operating to tight deadlines and constantly shifting priorities. Our success comes from our flexibility, adaptability, and willingness to support one another, ensuring we consistently deliver high‑quality results regardless of the challenge.

 

We are seeking a Team PA who is focused, enjoys collaboration, is proactive, and who can help us continue to perform at our best in an ever‑evolving environment.

 

  • Support the Retrocession and Property Specialty broking team, providing additional support to executive team members as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.

  • Manage diary coordination, scheduling, and meeting preparation for the Retrocession and Property Specialty Senior brokers.

  • Arrange travel bookings (flights, visas, accommodation, transport).

  • Prepare market and client schedules for international conferences, and trips to various territories (Bermuda, Europe, and USA).

  • Maintain Gifts & Entertainment Register, ensuring appropriate signoffs to avoid breaches, and submit monthly logs with approvals to the Operations Team.

  • Process expense reports accurately and in a timely manner.

  • Assist in the planning and execution of team events and internal training sessions.

     

  • Ensure a smooth and professional client experience (check meeting rooms in advance of client meetings, greet clients, order catering, book AV, register guests etc).

  • Provide basic cover for EA when needed and assist with ad‑hoc admin tasks.

     

  • Develop an understanding of the Retrocession and Property Specialty team to support day‑to‑day admin tasks more effectively.

Candidate Profile

Given the nature of this role, the successful candidate will have previous experience in a corporate environment in an administrative position.

  • Highly organised with the ability to multi-task, co-ordinate, and prioritise own workload.
  • Ability to work in a fast-paced environment, using own initiative to get things done, without compromising accuracy.
  • Professional and friendly communication skills, and confidence engaging with colleagues and clients.
  • Ability to exercise judgment and discretion to handle confidential information appropriately.
  • Proactive mindset and a flexible team player, willing to adapt to changes and keen to embrace new challenges.
  • Strong Microsoft Office skills (including Teams, SharePoint).
  • Excellent written and verbal communication skills.
  • Willingness to learn and further develop existing skills.
